In this lecture, we're going to go over creating tasks. I'll show you three different ways to create a regular task. I'll show you how to create recurring tasks. And finally, I'll show you how to take a message and turn it into a task. Just like we went over in our other sections, there's three different ways that you can create a new task. The first way is if you're in one of the other apps besides tasks, we're going to come up to the Home tab, new group, click on new items, and choose task.

This will open up the untitled task dialog box, so we can create our new task. We'll go ahead and close out of this. The second way is with our shortcut key, and that's Ctrl Shift K. Once you do that, it will also open up the untitled test dialog box so we could create our task. We'll go ahead and close out of that. The third way is from our task app. So we'll switch over to tasks.

From here we'll go to the Home tab, new group and click new task. Just like before It opens up the untitled task dialog box so we can create our task. The first thing we need to do is give it a subject. What is this task that we're going to work on? Once you name your task, you need to give it a start date, when is the date that you need to start working on this task. So we'll come into our calendar.

We'll choose tomorrow as our start date. As soon as you set the start date, it's going to give the due date as that same date. So what we want to do now is we want to choose what will be the date that this task must be completed by will come out to our calendar and for this example, we'll choose the 29th. We come up to our information bar, it's going to tell us the task is due in four days, we can come over to our status area and click on the down arrow. And this will give us our options for the status we can tell it whether or not it's been started in progress completed if we're waiting on someone else, or if it's been deferred. Since we set the start date for this task for tomorrow, I'm going to leave it at not started because we won't start working on it until tomorrow, we can also choose our priority.

Is this a low task normal or high? For this example, let's go ahead and set it to high priority. We have a checkbox for reminder, and if we check it, it allows us to set a reminder for this task. So do we want it to remind us before it's due. So we're going to come in and let's set it for Thursday afternoon, so it gives us time to complete it. We'll set it for four o'clock on Thursday.

Then you can go into the body of a task and give a details for the task itself. Are there specific things you must do within the task. Once you've completed adding all the information to your task, we'll come up to the task tab and click Save and Close. Once you save and close it, it's going to add the task to your to do list. It has the exclamation point because it's a high priority task. And from our to do list, we can see the tasks subject the status of it when it's due how much was completed.

Let's Go ahead and create a recurring task. For our example, let's create a task for our weekly report that's due every Friday at five o'clock. So again, we'll come up to the Home tab, we'll go to the new group and click new task. Subject, weekly report. Start Date, we need to make sure that we start this Thursday, because it's due on Friday. We want our reminder to go off at 10 o'clock on Friday, so that we make sure we have enough time to get it completed if we forgotten about it.

Once you have all the information set, let's go to the recurrence group and click on recurrence. This is going to open up the recurrence dialog box and from here we're going to set our recurrence information. First, we need to set the pattern daily. Is it something that's going to happen every day, weekly, monthly or yearly. This is a weekly tasks that we're going to set. The recurrence is once a week, and it's on Friday.

So we're going to uncheck Thursday and click Friday. De, and we're going to set it to regenerate a new task every time it's completed. So that once we complete it for one week, it sets the task for the following week, then we're going to come under the range of recurrence and we need to tell it when to start. We'll have it start right away on Thursday. Is it a task that's going to continue on forever? If so, we'll set no end date, is it a task that goes on for a certain number of occurrences or to a certain date with this example, we're going to say it needs to go on for five weeks.

So we can either tell it to come in and end by the end of five weeks, or we can tell it end after five occurrences. So we'll set our five and we'll say OK, once we click OK, if we come back up to the information status area, it's going to give us the recurrence information. It starts one week after this task is completed effective on the 28th. And there are five more occurrences of it. We can go ahead and click save and close now. And now we can see that we've got our weekly report for Smith setup.

And you can see by the little circle here with the arrows it is a recurring appointment. Another quick way to set up a task is from an email you receive. So let's go over to our emails. Here's an email I've received where somebody is going to send me notes by Thursday. For this example, I want to set up a task so that once I get these notes, I can update them and send them out to the group. To create a task up in the email, all you need to do is drag it to your task app, we've got the email highlighted.

So now I'm going to hold down my left clicker and drag it to task. Once I do this, it's going to open up the email as a task. The subject will be the subject of the email. So MIDI notes, it's going to put in the email information below in the body area. So I know what it was about. Now I can come up to the start date and choose my start date for this task.

Thursday. Not started the due date. I need to send it out after they've completed it. So let's go ahead and this time, let's do Monday. We'll set the priority is high. I'll do my reminder on Thursday at four o'clock, that way, if I haven't received the email from this person, I can go ahead and ask them to make sure they send it to me so I can get my part done.

Now I'm going to come into the body of the task, and I'm going to add my information. Once I have all my information in, I'll go ahead and hit save and close. You'll see I'm still in email, here's my email that I received. But if I come over to my tasks, here's the task. So it doesn't remove the email from the email list. It creates a task off up a copy of it.

So I've still got the email. So if Thursday comes and I haven't received it, my reminder goes off, I can go back to the email, send a reply out to that person and ask them to make sure they send me the information. And that's how you create tasks. Remember, you can do it from any of your apps, always go to the Home tab. new items task if you're not in the task list, if you're in the task list home, new group, new task or Ctrl Shift k
