In this lecture, we're going to go over replying to emails and forwarding emails. Let's start with replying to email. So let's go ahead and open up our email. From the message tab under the respond group. We've got a reply and reply to all options. Please keep in mind using the Reply All is going to send your reply to everybody who was included in the email.

So unless you want everybody to have your response, don't hit Reply All. To reply to this message, we're going to the respond group and click reply. Once we click reply, you'll notice in the subject it puts our E at the beginning of the message. This tells the recipient that it's a reply to a message. If you look down at the body of the message, you'll notice your original message is below where the cursor is. This is because it's going to give you an area to reply to the message and then it's going to give the original message so that the recipients can see what you're replying to.

So you would just type in your message. You can hit send. Now because you are replying to a message. You can also add CCS vccs and additional people to the to so that they also get the message if you need them to. So let's go ahead and add a cc will add the training group to the CC. Okay.

Now we can go ahead and send it forward in a message works similar to replying to a message with the message open again, we're going to go to the message tab, respond group and click forward. When we click forward, you'll notice on the subject it puts an Fw colon before the subject. This tells the recipients that it's a forward of the message. And again in the body, it gives you an area to type your message and below that is the message that you're forwarding. So let's go ahead and type in a person we're going to forward it to. And if we wanted to, we can attach a document to this.

I'll click Send and it forwards our message. Those are the basic reply and forward. Now there's other options that are available to you as well. And so let's go back to the respond group. And we'll click on the calendar with the arrow. This is a reply with meeting.

What this allows you to do is reply to the email and set up a meeting request. You set your date and time. Additionally, you can add other people to the message if you wanted to, we'll go ahead and send from here. It's a nice feature because if somebody sends you a detailed email message and you need to have a follow up meeting regarding it, instead of printing out the email or copy and pasting information from it, you can go ahead and create the meeting right off of the email. Another option we have, you can forward the email as an attachment. By forwarding as an attachment it keeps the email in its original condition instead of having it as a forwarded message so that when the person you're sending it to opens it up, they've got the original message they could respond to or for Word on or do what they needed to do with it.

So it's a nice option if you need to keep a clean email. Let's go back to Outlook. You can also do a right click on a message and do your reply reply to all and forward from here as well. So you don't have to actually open up the message to do that. So it's just another way to do it and it cuts out a couple clicks. And that's how you forward and reply to messages.
